Maximizing ChatGPT: Moving from the "What" to the "How" of AI

Moving beyond basic AI concepts, this article explores how to practically and effectively leverage ChatGPT. It breaks down the essential elements of a high-impact prompt—Role, Task, Context, Format, and Constraints—and emphasizes an iterative process of refinement, verification, and responsible AI use to amplify human productivity and problem-solving.

During my recent AI with Dr. G seminar, I focused on the what of artificial intelligence—what AI is, what it can do and why it matters. The next step is more practical: How can we use AI effectively?

ChatGPT is more than a tool for answering questions. It can serve as a writing assistant, tutor, brainstorming partner, research aide, data analyst and productivity coach. However, the quality of its output depends heavily on the quality of our instructions.

A weak prompt produces a generic response. A strong prompt clearly communicates five things:

  • Role: Who should ChatGPT act as?
  • Task: What should it accomplish?
  • Context: What background information does it need?
  • Format: How should the response be presented?
  • Constraints: What requirements or limits must it follow?

Instead of asking, “Write a business proposal,” try:

“Act as a business consultant. Draft a two-page funding proposal for a Ghanaian youth technology program seeking $25,000. Include the problem, proposed solution, expected impact, budget and call to action. Use a persuasive but professional tone.”

The second prompt provides direction, context and a clear definition of success.

Maximizing ChatGPT also requires conversation. Do not accept the first response as the final product. Ask it to shorten, expand, simplify, challenge assumptions, provide alternatives or adapt the content for a specific audience. Effective AI use is an iterative process: prompt, review, refine and verify.

We must also use ChatGPT responsibly. It can make mistakes, misunderstand context or present outdated information confidently. Important facts, figures, citations and professional advice should always be verified. Confidential, personal or sensitive organizational information should not be entered without appropriate safeguards.

The real advantage of ChatGPT is not that it thinks for us. It helps us think faster, explore more possibilities and turn ideas into action. It does not replace human judgment, creativity or experience—it amplifies them.

The future will not belong only to programmers or technology experts. It will belong to people who can identify problems, ask better questions and use AI responsibly to create better solutions.

Understanding AI was the beginning. Learning how to use it is where the real transformation begins.
